What you can expect from us, and what we expect from you.
What this is
Bryteclinic is software a dental clinic uses to run its day: appointments, patient records, charting, billing and stock. We provide the tool. The clinic provides the dentistry.
Nothing here is dental or medical advice, and the software does not diagnose, treat or decide anything about a patient's care. Those are the clinician's judgement and responsibility.
Your account
Accounts belong to people, not to roles. Do not share a login, a passcode or a staff badge; if someone leaves the clinic, deactivate them the same day.
The person who creates a clinic becomes its administrator and controls who else gets in. If you are that person, that is a real responsibility: you are deciding who can read your patients' records.
Tell us promptly if you think an account has been used by someone who should not have it.
Your data is yours
The records a clinic enters belong to that clinic. We do not sell them, we do not use them to advertise to anyone, and we do not use one clinic's records to build anything for another.
You can ask for an export of your data, or for it to be deleted, at any time. We will tell you plainly what we are legally required to keep and for how long.
If you stop using the service we will not delete anything without telling you first.
Fair use
Use the software for running a dental practice. Do not attempt to reach another clinic's data, probe the service for weaknesses without our written agreement, or use it to store records unrelated to patient care.
We may suspend an account that puts other clinics' data at risk. We will explain why.
Availability and limits
We work to keep the service available but we do not promise it will never be down. Keep the ability to run a clinic day on paper if you need to.
Where the law allows, our liability is limited to the fees you have paid us. Nothing here limits liability for anything the law says cannot be limited.
Changes
If we change these terms in a way that matters, we will say so in the app before the change takes effect, not quietly in a footer.

What we hold, why, and who is answerable for it.
Who is responsible for what
This matters more than anything else on this page, so it comes first.
Your dental clinic is the Personal Information Controller of its patients' data. The clinic decides what is collected, why, and how long it is kept, and it is the clinic a patient asks about their records.
Bryteclinic is a Personal Information Processor. We hold and process that data on the clinic's instruction and for no purpose of our own.
Both roles carry duties under the Data Privacy Act of 2012 (Republic Act No. 10173).
What is collected
From clinic staff: a name, an email address or a staff badge, and a record of what they did in the app.
From patients, entered by the clinic or by the patient on an intake form: contact details, date of birth, medical and dental history, consent and a signature, treatment records and charting, payments and insurance details.
Some of that is sensitive personal information, including health conditions. It is treated accordingly: collected because a dentist needs it to treat someone safely, and for no other reason.
Why it is held
To let the clinic book, treat, chart, bill and follow up with its patients, and to keep the records a clinic is required to keep.
We do not sell personal data. We do not share it with advertisers. We do not use patient records to train anything.
Where it goes
Data is stored with reputable hosting and infrastructure providers under contracts that require them to protect it and to act only on instruction. Some of them operate outside the Philippines.
We share data with a provider only where it is needed to run the service, such as sending an email or taking a payment, and only the part that is needed.
How it is protected
Data is encrypted while travelling and while stored. Each clinic's records are separated from every other clinic's, and access is limited by role, so a staff member sees what their job requires and not the rest.
Files such as x-rays and signed consent forms are stored privately and are not reachable by a public link.
No system is perfectly secure. If a breach occurs that puts personal data at real risk, we will notify the clinic and the National Privacy Commission as the law requires, and we will tell you what happened rather than the least we can get away with.
Your rights
Under the Data Privacy Act you may ask to see your data, correct it, object to how it is used, ask for a copy, or ask for it to be erased or blocked, and you may complain to the National Privacy Commission.
Patients should direct these requests to their clinic, which holds the relationship and the records. Clinic staff can contact us and we will help the clinic answer.
How long it is kept
Clinical records are kept for as long as the clinic needs them and as long as Philippine rules on medical and business records require. When a clinic asks us to delete data, we delete it, except anything we are legally required to retain, and we will tell you what that is.

Records are evidence
Consent, charting and filed records are kept as they were given, not quietly rewritten. Where something changes, the change is a new record rather than an edit over the old one, so what was true on a given date stays readable.
Least access
A clinic sees only its own data. Within a clinic, staff see what their role requires: earnings are personal, and the clinic's books belong to the owner.
Giving someone access is a deliberate act by an administrator, never a side effect of something else.
The software does not practise dentistry
It records, calculates and reminds. It does not diagnose, prescribe or decide, and it will not present a clinical judgement as if it were fact. Where a decision needs a professional, we say so instead of guessing.
Plain answers
When something fails, we say what failed. When we do not know, we say that. An error message that hides the problem wastes the time of the person trying to fix it.
Disclaimer
Read this one. It is short and it is honest.
This is an early-stage product
Bryteclinic is built and run by a small independent team. It is in active development. Features change, occasionally break, and are sometimes removed.
We are telling you this plainly because you are about to put patient records into it, and you deserve to make that decision with the facts.
Keep your own copies
Do not let this be the only place your clinic's records exist. Export your data regularly and keep it somewhere you control.
If your practice cannot operate without this software being up, keep a paper fallback for a clinic day.
Not professional advice
Nothing in this software is dental, medical, legal, tax or accounting advice. Figures it calculates, including tax and payroll, are working aids and not a substitute for your own accountant or the authority concerned.
Clinical decisions are the clinician's. Compliance decisions are the clinic's.
